ELITE MARTIAL ARTS OF BROOKLYN
PAYMENT & BILLING POLICY
1. PURPOSE
At Elite Martial Arts of Brooklyn (ELITE), we are committed to providing a consistent, high-quality training experience for every member of our community.
Our Payment & Billing Policy establishes clear expectations regarding tuition, payment schedules, membership responsibilities, and account management.
2. MEMBERSHIP TUITION
ELITE memberships are billed according to the membership plan selected at enrollment.
Monthly memberships are billed on the scheduled billing date.
Tuition covers membership in the selected program, not individual class attendance.
Missed classes, holidays, vacations, and personal scheduling conflicts do not automatically reduce tuition.
Memberships continue on a month-to-month basis unless otherwise specified in the membership agreement.
Members are responsible for maintaining an active account in good standing.
3. AUTOMATIC PAYMENTS
All memberships require an authorized payment method on file.
Tuition is automatically charged according to the agreed billing schedule.
Members are responsible for keeping payment information current.
Declined or unsuccessful payments remain due.
ELITE may automatically retry unsuccessful payments in accordance with the member's payment authorization.
Additional programs, services, and fees are billed only as disclosed and authorized.
4. PAYMENT DUE DATES
Tuition is due on the scheduled billing date.
ELITE does not provide an automatic grace period for payments unless required by applicable law.
Members experiencing payment difficulties are encouraged to communicate with ELITE management promptly.
5. PAST-DUE ACCOUNTS
To maintain fairness and consistency, ELITE follows these account procedures:
30 Days Past Due: Training privileges may be suspended until the outstanding balance is resolved.
60 Days Past Due: Membership may be closed, subject to any required notice.
Testing Eligibility: Members with past-due balances may not participate in belt testing until their accounts are brought current, subject to applicable law.
Outstanding balances remain the responsibility of the Account Holder even if membership is suspended or closed.
6. MEMBERSHIP CANCELLATION
ELITE memberships operate on a month-to-month basis unless otherwise specified.
Members are encouraged to submit cancellation requests at least 14 days before their next billing date.
Cancellation requests must be submitted through the ELITE member application or in person at the dojo.
Stopping attendance does not automatically cancel your membership. Payments will continue until a formal cancellation request is received and cancellation takes effect.
Processed payments are nonrefundable.
7. MEMBERSHIP HOLDS
ELITE understands that members may occasionally need a temporary break from training.
Members may request one discretionary membership hold of up to one month per calendar year.
Medical holds may be considered separately with appropriate documentation.
All holds must be requested and approved in advance, except where circumstances or applicable law require otherwise.
Approved holds will specify the applicable dates and billing arrangements.
8. REFUNDS & MISSED CLASSES
Tuition payments are generally nonrefundable except as required by law or otherwise approved by ELITE.
Missed classes do not automatically qualify for refunds or tuition credits.
Voluntary absences do not suspend membership billing.
Eligible missed classes may be made up according to ELITE's attendance and make-up policies.
Refunds or adjustments required by law will be honored.
9. TUITION ADJUSTMENTS
ELITE may periodically adjust tuition to reflect inflation, operating costs, and improvements to our programs and facilities.
Standard annual tuition adjustments may be up to 3%, unless otherwise agreed.
Members will receive advance notice of applicable tuition changes in accordance with the membership agreement and applicable law.
10. ANNUAL & PREPAID MEMBERSHIPS
Members who select annual or prepaid memberships are responsible for the payment terms agreed upon at enrollment.
Prepaid tuition applies to the specified membership period.
Renewal terms will be disclosed at enrollment.
Any applicable cancellation and refund rights remain in effect.
Annual memberships do not automatically renew unless renewal has been properly disclosed and authorized.
11. PAYMENT DISPUTES
We encourage members to contact ELITE management promptly regarding any billing questions or concerns.
ELITE will review reported billing errors and work toward a fair resolution.
Members retain all rights to dispute transactions through their financial institutions or payment providers.
12. OUTSTANDING BALANCES
Members remain responsible for valid unpaid tuition and other authorized charges.
ELITE may contact members regarding overdue balances and, when legally permitted, pursue collection of unresolved amounts.
Any collection activity will comply with applicable law.
13. MEMBER RESPONSIBILITIES
Members and Account Holders are expected to:
Maintain accurate billing and contact information.
Ensure that an authorized payment method remains available.
Review billing notifications and account statements.
Communicate promptly regarding billing concerns.
Submit hold or cancellation requests through approved channels.
Fulfill valid financial obligations associated with their memberships.
14. POLICY UPDATES
ELITE may update this Policy to reflect operational changes, improvements, or legal requirements.
Members will be notified of material changes as required by applicable law.
Changes to tuition, renewal terms, or other material financial obligations will be handled in accordance with the membership agreement and applicable law.
15. ACKNOWLEDGMENT
By electronically signing the applicable membership agreement, the Account Holder acknowledges having been provided access to this Payment & Billing Policy and agrees to comply with its applicable terms.
Nothing in this Policy limits any consumer rights or protections provided by New York law.
